Donating Your Personal or Family Records to a Repository

In March I received an unexpected letter. It was a “Thank You” letter from the University of Texas Pan American. In February I decided to donate the book that I received as a welcome gift for joining the Rio Grande Valley Genealogical Society. It was their 2013 Journal and as we speak they are currently in the works of putting together their 2014 Journal but I digress.

Scanned letter that I received:

UTPA Thank You Letter for Donating Book.

As I have mentioned before on my blog We Are Cousins, the UTPA Special Collections has been good to me and it has been indispensable to locating my ancestors. It was time that I gave something back. Since then I have also made up my mind that in the future I will donate every Genealogical book that I get to buy to this same collection.

The book has already been placed on their collection and is available to researchers, since it is the only copy they own they will only let you read it in their research room and it is not available for check out. You can check it out here. It will not only be taken care of by the library but will also be a great resource to everyone. FYI: you can buy this journal and other books at the Rio Grande Valley Hispanic Genealogical Society’s website.

Once you have decided to to donate an item or items and take them to the University you will be provided with an agreement indicating that donated items will not be returned and that no monetary compensation will be provided.

Are you thinking of Donating Your Personal or Family Records to a Repository?

If you are, you can read more about it here. Donating Your Personal or Family Records to a Repository, it is a great article by the Society of American Archivists. It lists the benefits of donating your items to repositories.

Another thing that you can do is check personally with your local library and get a copy of the materials that they accept. It would be great if they could safeguard your Personal or Family Records for posterity to enjoy.

Have you donated anything?

If you have let me know in the comments or send me a message I would love to read about your decision to donate and your experience.
